Room Hire Agreement
Sandie Crowe is willing to grant the practitioner non-exclusive occupation of Room 24, 7 Eastway Enterprise Centre for the purpose of offering therapeutic services in return for a fee (‘Licence Fee’). The practitioner agrees to read and abide by the below Terms and Conditions. Any variation to these Terms and Conditions shall have no effect unless expressly agreed in writing by Sandie Crowe.

Terms and Conditions of Room Rental Registration
• Prior to booking the room the practitioner must complete the registration process.
• The practitioner must maintain the appropriate certification, qualifications, up to date professional liability insurance and DBS checks where applicable.
• Once the practitioner has completed the registration process they will be provided with access to the online calendar, a keyfob to the building and the information to access the therapy room.
• A £30 deposit is required for the key. If the keyfob is lost, a replacement can be arranged at an extra cost.
• The practitioner is not permitted to give the key to a third party, nor to share the access details for the building.
• Practitioner MUST USE the key fob to exit the building as a record that they are no longer in the building for health and safety records.

Room Fees and Payments Process
• Hourly bookings are made on an ad hoc basis through Sandie Crowe Counselling website. The Licence Fee for hourly bookings is specified on the booking system. You may cancel your booking for a full refund up to 14 days prior to the scheduled date. Cancellations less than 14 days prior to the rental period will be charged at the full rate.
• Regular block bookings of 3 or more consecutive blocks can be arranged where available. Please get in touch directly to arrange this. Practitioners who block book may also use private parking space. Please get in touch to discuss.
• Monthly bookings are made for a minimum of a 3 hour consecutive block at the same time each week and are paid in advance by Direct Debit on the first day of the month. The Licence Fee for monthly block bookings will be at a rate of £10 per hour. Monthly bookings are cancellable with one month’s notice by either the practitioner or Sandie Crowe.
• 3 months’ notice will be given by Sandie Crowe for any changes to the hourly or monthly license fees.
The practitioner does not have the authority to enter into contracts on behalf of Sandie Crowe. It is forbidden to sublet the room or use it for any other purpose other than what has been agreed.
• Sandie Crowe reserves the right to review the pricing and provide 1 month notice to any price increase.

Room Bookings
• Bookings must only be made on the hour (monthly bookings can be made at different times upon request).
• The therapy rooms must only be used during the hours that have been agreed and booked. Please double check that the booking has been made correctly as Sandie Crowe cannot be responsible for any mistakes that are made. Room Usage
• All bookings start on the hour and rooms must be vacated no later than 5 minutes before the next hour in order to allow the next user to enter the room prior to the start of their booking. Pease use the engaged door sign to indicate when you are using the room and slide it to vacant when you leave so that it is clear when a room is not in use.
• If the practitioner arrives to find the room that the room they have booked is still in use 5 minutes before the hour, they should knock on the door to alert the previous user that they have booked the room. The person inside the room should always come to the door to explain any reason for overrunning or to settle any misunderstandings about who has booked the Room.
• The practitioner is in charge of bringing their own equipment to the centre and any equipment left in the building is done so at their own risk. Sandie Crowe will accept no responsibility for personal or professional items left on the premises.
• No items are to be affixed to the walls, floors or ceilings of any part of the premises.
• The practitioner is responsible for the therapy room and its content during their sessions. Any damage that occurs during this time must be brought to Sandie Crowe’s attention and payment for any damages must be received within 14 days of billing.
• The therapy room must be left in a safe and tidy condition so that other therapists can use it immediately afterwards. Please place all food wrappers in the kitchen bin to avoid the room smelling for the next practitioner.
• Any incidents or accidents that require attention must be reported by the practitioner immediately. • The practitioner must ensure they close windows, and switch off electric heaters or air conditioning when leaving the room.
• The practitioner will conduct their business in a way that does interfere with other EEC clients. Report any issues or concerns regarding other EEC clients to reception staff or Sandie Crowe.
• The practitioner is fully responsible for the health and safety of their clients. Sandie Crowe is not responsible for damage to the client's personal property. The practitioner is responsible for addressing their client’s conduct if needed.

Fire Safety
• Smoking or vaping is not permitted anywhere on the premises. There is a smoking area outside the building and a cigarette bin is provided.
• No naked flames are allowed on the premises, including, but not limited to, candles and incense.
• The practitioner will co-operate with EEC on all matters relevant to fire safety.

Use of Kitchen
• The practitioner is welcome to use the kitchenette. Tea and coffee and milk in the fridge labelled EEC is provided for practitioners. Please be mindful of noise when using these facilities; conversations should be kept quiet and no telephone calls made in this area. The practitioner is welcome to use the waiting area before and after bookings.
